Effective November 1, 2026

What we collect, why, who we share it with and the choices you have. In short: we use your information to run the Service and the deals and partnerships you take part in. We don't sell it, and buyers only receive approved, anonymized material.

01Who we are and what this covers

Dataseam (“Dataseam,” “we,” “us”) operates the Dataseam portals for clients, partners and staff, and the forms on dataseam.ai that send information to them. This policy explains what personal information we collect through them, how we use and share it, and the choices you have.

Records that a client later licenses through Dataseam are handled under that client's engagement and license agreements, which set how material is prepared, anonymized and shared.

02Information we collect

Information you give us

  • Business submissions: your first name, email, phone and company, and answers about the business such as industry, years operating, the kinds of records it holds and its situation.
  • Partner applications: your name, email, phone, company, website, social profile, who referred you, your message and when you accepted our Terms of Service.
  • Portal activity: intake updates, uploaded samples, decisions on offers, introductions you register and other information you add to a deal.
  • Account details: your name, email and role. Passwords are handled by our authentication provider and stored only in hashed form.
  • Messages: inquiries you send and emails you exchange with us.

Information from partners

If a referral partner introduces you, they give us your name, contact details, company and basic information about the business. Partners must have your permission to do so.

Information collected automatically

  • Referral link visits: when you open a partner's referral link, we record the link, the time, the referring website's domain, any campaign tags in the link and a one-way hashed key made from your IP address and browser type. We use the hashed key to count visits and avoid double counting. We do not store your IP address with the visit.
  • Abuse protection: to limit spam and repeated requests on public forms and password resets, we store a one-way hash derived from your IP address for up to one day.
  • Service logs: our hosting and infrastructure providers keep standard technical logs, such as IP address, browser type and request times, to run and secure the Service.
  • Cookies: described in the cookies section below.

We do not use advertising cookies or third-party analytics trackers in the portal.

03How we use information

  • To review submissions, assess fit and contact you about a possible engagement.
  • To run deals you take part in: intake, rights review, preparing approved materials, presenting offers and recording payments.
  • To run the partner program: reviewing applications, crediting introductions and referral links, and calculating and recording referral fees.
  • To send service emails such as submission confirmations, partner welcomes, portal invites and password resets.
  • To secure the Service, prevent spam and fraud, and enforce our Terms.
  • To meet legal, tax and accounting obligations.
  • To maintain and improve the Service.

04How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share it only as follows:

  • Service providers that process information for us under contract, including our hosting provider, our database, authentication and file storage provider, and our email provider.
  • Your referral partner, if you were introduced by one. Partners see your company, deal stage and their fee. They do not see samples, buyer names or bid terms.
  • Prospective buyers, only as you approve under a written agreement. Buyers receive approved, anonymized material, not your contact details or raw company records, unless you agree otherwise.
  • Anonymization and delivery providers engaged under agreement to prepare licensed material after a license is signed.
  • Legal and safety: when required by law or legal process, or to protect the rights, property or safety of Dataseam, our users or others.
  • Business transfers: as part of a merger, acquisition, financing or sale of assets, subject to this policy.

06How long we keep information

We keep personal information only as long as we need it for the purposes above:

  • Account information, for as long as your account is active and for a reasonable period afterward.
  • Submissions and deal records, for as long as needed to evaluate and complete an engagement, credit partners and meet legal, tax and accounting requirements.
  • Referral visit records, for as long as needed to credit introductions and resolve attribution questions under the partner terms.
  • Abuse-protection hashes, for up to one day.

When we no longer need information, we delete it or de-identify it.

07Security

We use encryption in transit, role-based access controls that limit each portal to its own records, hashed passwords and restricted staff access. No system is perfectly secure, so please use a strong, unique password and tell us at privacy@dataseam.ai if you suspect a problem.

08Your choices and rights

You can update your contact details and intake answers in the portal at any time. Depending on where you live, you may also have the right to:

  • know what personal information we hold about you and get a copy;
  • correct inaccurate information;
  • ask us to delete your information;
  • object to or restrict certain uses, or withdraw consent where we rely on it; and
  • complain to your local data protection authority.

To make a request, email privacy@dataseam.ai. We will verify your request, respond within the time the law requires, and not treat you differently for exercising your rights. We may keep information we are legally required to retain or need for an existing agreement.

If you are in the European Economic Area or the United Kingdom, we process your information to take steps toward or perform a contract with you, for our legitimate interests in running and securing the Service and the partner program, to meet legal obligations, and with your consent where required.

09Where information is processed

Dataseam is based in the United States, and our providers may process information in the United States and other countries. Where the law requires, we use appropriate safeguards for these transfers.

10Children

The Service is for businesses and is not directed to anyone under 18. We do not knowingly collect personal information from children.

11Changes to this policy

We may update this policy. When we do, we will change the effective date above, and for material changes we will give notice in the portal or by email.
